Kopro calculates collections from the lease, while GoCardless collects the mandate and processes SEPA Direct Debit payments. The professional retains control over amounts and tracking.

Complete journey

From landlord connection to rent reconciliation.

  1. 1. The professional activates the option

    From Rent calls, the account owner or an authorised team member accepts responsibility for the fees, then connects or creates their GoCardless account. GoCardless verifies the business before activation.

  2. 2. Kopro prepares each invitation

    For each active lease with an email address, Kopro prepares a personal link. The tenant sees the property, rent, charges, housing benefit paid directly to the landlord when recorded, the total and the planned collection day.

  3. 3. The tenant gives consent

    The tenant continues to GoCardless’s secure page and approves the SEPA mandate. No Kopro account is required. Bank details are entered with GoCardless and are not stored by Kopro.

  4. 4. Collections are prepared

    Once the mandate is active, Kopro prepares the monthly collection from the current lease. The amount reflects rent and charge revisions and any housing benefit recorded as paid directly to the landlord.

  5. 5. Statuses are reconciled

    GoCardless updates Kopro at each stage: pending, submitted, confirmed, paid out, failed, cancelled or charged back. A confirmed payment is allocated to its lease; a failure or chargeback alerts the professional.

Professional oversight

Amounts come from the lease, not a bank estimate.

The professional records rent, charges, the payment day and, where applicable, the housing-benefit share received directly. Kopro uses these records to prepare the next collection. The Bridge bank connection remains a separate optional service.

Payment tracking

A precise status at every stage.

A collection is recorded as received only after confirmation from GoCardless.

Pending / submitted
The collection is being processed. It must not yet be treated as received.
Confirmed
GoCardless confirms the payment. Kopro allocates it to the relevant lease and period.
Paid out
GoCardless reports that the funds have been paid out to the professional.
Failed / cancelled
Kopro reverses the associated receipt and alerts the professional so they can decide what to do next.
Charged back
The receipt is removed from rent tracking and an alert is created.

Fees

GoCardless fees are paid by the professional who activates the option. Kopro currently adds no application fee to the collection, and no fee is passed on to the tenant.

Pausing

Pausing stops new collections from being prepared. Collections already submitted continue to be tracked until their final status.

Failures and adjustments

Kopro does not retry or refund a payment without the professional’s decision. Refunds are not yet initiated from Kopro: contact support before making an adjustment.

Bank account

GoCardless pays funds directly to the professional. Kopro does not receive or hold the money. Bridge, when enabled separately, is used to reconcile bank transactions.

Payer protection and privacy

The mandate is covered by the SEPA Direct Debit Guarantee and GoCardless’s payer privacy policy.
