
Changing tools affects managers' routines, building records and client relationships. A digitisation project needs time to prepare, verify and explain the changes, rather than just a date for opening accounts.
Start with observed difficulties
List the tasks that cause errors or repeated searches: finding a document, knowing who is handling an incident, preparing meeting records or handing over a file. Choose a few objectives you can measure in your own business.
Prepare data before importing it
Check buildings, units, contacts and access rights. Identify duplicates and people who have left. Separate shared documents from private records. Keep a reference copy of exports from the previous tool so you can compare the migrated data.
Start with one pilot building
Choose a representative property and a manager available to test it. Work through invitations, documents, incidents and relevant operations. Record exceptions and have the responsible people validate balances and files.
Migration into Kopro from another application is prepared with the team, file by file. It should not be described as an autonomous one-click migration. Agree on the scope, any cost and the checks before starting.
Train people using real tasks
A short session for each role is often more useful than a tour of every menu. Have people complete an entire workflow, then provide a reference sheet: the action, expected result and contact for help.
Base the rollout decision on results
Before expanding, check that access works, documents are in the right place and the team can handle common situations. Keep close support in place after launch. Time savings should be measured in your firm, rather than assumed from an unsupported marketing percentage.
