French co-ownership accounting: organising records and checks

Useful accounts connect each expense to its supporting document, the correct building and the decision authorising it. Software helps organise and calculate; the manager remains responsible for the quality of the information entered and the checks performed.

Identify the applicable framework

French co-owners' associations follow accounting rules based in particular on the decree and order of 14 March 2005, with specific arrangements for some small associations. ANIL explains the accounting framework, chart of accounts and summary statements. Check the rules applicable to your building before using a template.

Prepare a budget you can explain

Compare current contracts, recorded expenditure and the needs of the accounting period. Document changes: a new contractor, a contract price increase or exceptional work. Keep the assumptions so they can be explained to the owners' council and then the general meeting.

Connect every transaction to a record

When an invoice arrives, check the supplier, building, period and amount. Keep the original and use a consistent category. A disputed invoice should remain identifiable without being mistaken for an approved expense.

Reconcile records and explain differences

Regularly compare bank statements with recorded transactions. Look for duplicates, unallocated payments and timing differences. Keep a list of outstanding discrepancies and assign each check to someone.

This does not mean it automatically supplies a complete accounting system with every journal, double-entry posting and annual check. Live bank connections and automatic reconciliation still require production implementation.

Prepare the accounts review

Before presenting the accounts, check missing documents, balances requiring explanation and the scope of the export. Have the files validated by the person responsible for accounting. An available export is not, by itself, a certification that your accounts comply with every requirement.
